Acceptance of Terms and Conditions
By booking a session with Mountain City VR Adventures, you agree to the following terms of service. If you do not agree with any part of these terms, please do not make a booking.
Booking and Payment Policies
- Booking Platform: All reservations must be made through our official online booking system (powered by High Trek) accessible via our website. You may also contact us by phone for assistance with booking.
- Payment: Full payment is required at the time of booking to secure your session. Our booking system will process your payment when you finalize the reservation.
- Confirmation: Once your booking is completed, you will receive a confirmation email with your session details. Please review the information and contact us promptly if any changes are needed.
Cancellation and Rescheduling Policy
- 48-Hour Policy: If you need to cancel or reschedule your session, you must do so at least 48 hours before your scheduled start time to receive a full refund. Cancellations or change requests made with more than 48 hours’ notice can be handled through our booking system or by contacting us.
- Late Cancellations: Cancellations made less than 48 hours before the scheduled session start time are not eligible for a refund.
- Rescheduling: If an unexpected conflict arises and you cannot attend your reserved time, you may reschedule your booking one time for another available slot. Once a booking has been rescheduled, it cannot be canceled for a refund. Further rescheduling beyond the one-time accommodation will not be allowed.
Late Arrivals
- Arrival Time: Please plan to arrive at least 15 minutes before your scheduled start time. This allows time for check-in, a brief orientation, and setup of the VR equipment.
- Reduced Game Time: If you arrive late, your session will still end at the originally scheduled time. Unfortunately, this means less time to enjoy the experience. For example, if you arrive 10 minutes late for a 60-minute game, you will have 50 minutes of game time remaining.
- No Refunds for Lateness: We cannot extend your session or offer refunds for time lost due to late arrival. Being punctual ensures you get the full experience.
Age Requirements
- Minimum Age: All participants must be at least 12 years old to play our VR escape room adventures.
- Minors: Anyone under 16 years of age must be accompanied in the room by a parent or guardian. Participants under 18 will require a parent or legal guardian to sign the waiver on their behalf (see Waiver section). We may ask for ID to verify ages if necessary.
Guest Expectations and Safety
- Follow Instructions: You and your group are expected to follow all posted rules and verbal instructions provided by our staff at all times. These guidelines are in place to ensure everyone has a fun and safe experience.
- Respectful Behavior: We strive to maintain a welcoming, family-friendly environment. Please refrain from disruptive behavior. Mountain City VR Adventures reserves the right to refuse entry to or remove any person who poses a safety risk or disrupts the enjoyment of others, including anyone under the influence of drugs or alcohol. No refunds will be provided if you are asked to leave for misconduct.
- Handling Equipment: Do not tamper with or misuse the VR headsets, controllers, or other equipment and props. Our VR escape rooms do not require you to forcefully interact with the physical environment. Any damage to equipment or property caused by reckless or inappropriate behavior will be charged to the responsible party.
Liability Waiver
All participants are required to sign a liability waiver before beginning the VR escape room experience. This waiver can be signed digitally through our booking system or in person upon arrival. By signing, you acknowledge and accept all inherent risks associated with the activity. (Please review our Waiver page for details on the content of this waiver.)
Privacy Policy
- Personal Information: Mountain City VR Adventures collects personal information (such as names, contact details, and payment information) solely for the purposes of booking and managing your VR escape room sessions. We are committed to protecting your privacy and the confidentiality of your personal data.
- Data Security: We implement appropriate security measures (encryption, secure payment processing, etc.) to safeguard your personal information during booking and payment. Your data is handled with care to prevent unauthorized access.
- Use of Photos/Video: For safety and game management, our staff may monitor your session via cameras. Photographs, videos, or audio recordings taken during your experience are primarily for security and to help our game masters assist you if needed. We will not use any such media for promotional purposes without obtaining your explicit consent.
- Third-Party Sharing: We do not sell or trade your personal information to outside parties. The only exceptions are trusted third-party services that help us operate our business (for example, our online booking provider or payment processor). These parties are also required to keep your information confidential.
Changes to Terms
Mountain City VR Adventures reserves the right to update or modify these terms of service at any time. Any changes will be effective immediately upon being posted on our website. We encourage you to review the terms periodically to stay informed of any updates. Your continued participation in our services after changes are posted constitutes acceptance of the revised terms.
